Each one runs in your existing Xero or QuickBooks ledger, and each one has a named human check.

Receipt & invoice capture

Receipts in inboxes, photos on phones and PDFs keyed in by hand.

Documents are collected from a dedicated inbox or upload link. AI reads the supplier, date, amounts and VAT, then drafts the bill in Xero or QuickBooks with the source attached.

Low-confidence reads and new suppliers are queued for review before posting.

Bank transaction categorisation

Hundreds of bank lines coded one by one each month.

AI suggests the account, tax rate and tracking category for each bank line from your coding history and chart of accounts, and explains its reasoning.

Every suggestion is approved by your bookkeeper. Unusual items are flagged for a closer look.

Reconciliation matching

Payments that don't match an invoice exactly: part-payments, batched receipts, FX differences.

Many-to-one and partial matches are proposed against open invoices and bills, with FX and fee differences calculated for you.

Human sign-off on everything that matters

AI prepares and suggests. Postings, reconciliations, payments and filings are approved by an accountant.

Your data isn't used to train AI models

We use AI through business and API services whose terms exclude customer data from model training. We don't use free consumer chat tools on client data.

Only the data a task needs

Each automation sees only the fields it needs. Bank details and personal data are excluded wherever the task allows it.

Your ledger is the source of truth

Questions about AI in your finance function

Does AI replace my accountant?

No. AI handles the repetitive preparation: reading documents, suggesting codes, proposing matches and drafting commentary. A qualified accountant still reviews, approves and signs off the work. You get the speed of automation with professional judgement on every decision that matters.

Is my financial data safe?

We only use AI through business and API services whose terms exclude customer data from model training, and we don't put client data into free consumer chat tools. Each automation only receives the data it needs, and every engagement is covered by an NDA.

What does AI automation cost?

Process optimisation and automation are included in the Full Finance Function package, and available as an add-on to Essential and Growth. For larger or custom automation projects we quote a fixed price after a process audit, so you know the cost before any work starts.

Which software does it work with?

Our automations work with Xero and QuickBooks Online, alongside tools such as Syft Analytics, Microsoft 365 and Make.com. We use Claude, Anthropic's AI model, for document reading, analysis and reporting tasks.

What happens when the AI gets something wrong?

Every automation has a review step. Low-confidence items are routed to an accountant instead of being posted, and anything that is posted can be traced and corrected in the normal audit trail. We track correction rates and tighten the rules where errors recur.
