Xero vs QuickBooks: Which Accounting Software Is Best for Your Business?

7 min read

Xero and QuickBooks Online are the two most popular cloud accounting platforms for small and growing businesses. We work in both every day, and either can run a business's books well. The right choice comes down to where you're based, who your accountant is and how your business operates.

What they have in common

Both offer automatic bank feeds, invoicing, bill management, bank reconciliation, multi-currency on higher plans, receipt capture and a large marketplace of connected apps. Both are recognised by HMRC for Making Tax Digital for VAT, so UK businesses can file VAT returns directly from either.

Where Xero stands out

Xero includes unlimited users on its plans, which suits businesses where several people need access, from founders to an external bookkeeper and accountant. Its bank reconciliation screen is fast and clear, and it's particularly widely used by UK, Australian and New Zealand accountants, so it's easy to find support. Its app marketplace is strong for e-commerce, payments and reporting tools.

Where QuickBooks stands out

QuickBooks Online is the market leader in the United States, so it's the platform most US CPAs expect to see. Its reporting is flexible, and higher plans add features such as class and location tracking and more built-in inventory capability. User numbers are limited by plan, so check how many people need access before choosing a tier.

UK or US: does location matter?

It often decides the question. In the UK, Xero is very common among accountancy firms and handles VAT and MTD well. In the US, QuickBooks is the default for most CPAs and handles sales tax and 1099 workflows familiar to US advisers. If your accountant already works in one, that's usually the right starting point.

Payroll, inventory and integrations

Both offer payroll in the UK, and QuickBooks offers payroll in the US. For inventory-heavy businesses, compare how each tracks stock and cost of goods, or plan to use a dedicated inventory app that integrates with either. Before switching, list the apps you rely on, such as payment providers, e-commerce platforms and expense tools, and confirm they connect to the platform you choose.

Our recommendation

Don't choose on price alone, as plans and prices change regularly. Choose the platform your accountant knows, that connects to the apps you use and that gives the right people access. Clean bookkeeping matters far more than the software brand: a well-run QuickBooks file beats a neglected Xero file every time, and vice versa.

Key takeaway

Xero and QuickBooks Online are both excellent. Xero is popular in the UK and includes unlimited users; QuickBooks is the US standard with flexible reporting. Pick the one your accountant uses and your apps connect to.

Frequently asked questions

Is Xero or QuickBooks better for UK businesses?

Both are HMRC-recognised for Making Tax Digital. Xero is especially common among UK accountants and includes unlimited users, which makes it a popular choice, but QuickBooks Online works well in the UK too.

Is QuickBooks better for US businesses?

QuickBooks Online is the most widely used platform among US small businesses and CPAs, which makes collaboration easier, though Xero is also available in the US.

Can I switch from QuickBooks to Xero, or Xero to QuickBooks?

Yes. Migration tools and specialist bookkeepers can move your chart of accounts, contacts and balances. It's best done at a period end, with opening balances reconciled in the new system.
